Erasmus PhD studies

To do an Erasmus+ exchange stay students must have nationality, permanent or temporary residence, or refugee or stateless status in one of the states participating in the Erasmus+ programme (see the list in the general information section).

Students must be registered on a PhD programme at the UAB during the 2022/23.

Students must not have previously done exchange visits with thin modalities of Erasmus+ studies or work experience at PhD level of a period of more than 9 months, given that according to the Erasmus+ visit calculator students may spend a maximum of 12 months per educational cycle on the Erasmus+ programme. Visits to Switzerland are not included in this restriction.

The PhD programme on which students are registered must have an exchange agreement with the corresponding exchange programme and also have the approval or the coordinator of the PhD programme. Where there is no valid agreement at the university where the student wants to do the exchange visit, a new agreement may be signed as long as this occurs before the visit takes place.

The partner higher education institutions must agree on the learning agreement for studies that the PhD students have to follow before the exchange visit takes place.

Students must have the agreement of the supervisor or tutor and the coordinator of the PhD programme that the work plan is fitting for the lines of research of the PhD programme.

Student must commit themselves to applying for the International Doctoral Research Component.

Proof of having medical and civil responsibility insurance is required.

Selection criteria

Priority criteria for PhD students, ordered from greater to lesser weighting:

• Not having undertaken other exchange visit of more than 3 months in international centre during the period of the PhD programme.
  • Not having undertaken visits of more than 3 months: 8 points.
  • Have undertaken visits of more than 3 months: 0 punts.
• Academic year for PhD students:
  • Second and third year PhD students during the academic year: 5 points.
  • First year PhD students: 2.5 points.
  • PhD students in the first extension year: 1 point.
• In the case of equal points being awarded the PhD student’s academic activities will be taken into account (participation in conferences, articles, etc.).

For the consideration of applications and the award of mobility exchange visits a Selection Committee will be set up made up of the Vice Rector for International Relations and Transfer and the academic secretary of the School for Doctoral Studies, or their representatives.


Exchange visit periods

The minimum period will be 3 months and up to 12 months for each cycle of studies may be taken.

The visits may be taken during the 2022/23 academic year.

The SEPIE (Spanish Service for the Internationalisation of Education) is the entity that distributes funds from the European Union destined to provide financial assistance to participants in the Erasmus+ programme. The grants will be awarded in line with the same criteria used in the selection process until the totality of the funding is exhausted.

It will be possible to finance up to a maximum of 5 months per stay. In case of availability of funds, the possibility of financing all or part of the stay exceeding 5 months will be evaluated.

PhD Students receiving financial assistance from the Erasmus+ programme will receive the funds by bank transfer in two payments: the first for approximately 70% of the total after they leave Spain. To receive the first payment students must have submitted the original signed subvention agreement and filled in their bank details on SIGMA and submitted their arrival certificate. All actions are essential for receipt of the payment.

The second payment, of the remaining amount, will take place when the student has returned and carried out the following tasks: presented the certificate of the exchange visit signed by the destination university (and clearly containing the start and end dates: day, month and year) and filled in the report on the exchange (see detailed information in the student Erasmus+ dossier available on the UAB website, at the Mobility and Exchange link). For mobilities between 2 and 5 montsh, the month of the start and the month of the end of the visit, which are not normally full months, the dates of travel are taken into account and students are paid proportionally for the actual days of the visit during those months (calculating on the basis that one month has 30 days).

Where there is not enough financial support available for all the students, they can do the stay on the Erasmus+ “zero grant” mode.

Students with fewer opportunities willbe able to receive an additional grant of € 250.

Contribution for short stays:

• From day 1 to day 14: 79€/day, from day 15 to day 30: 56€/day
• Travel support: 1 day before and 1 day after individual support days.
• Additional help for students with fewer opportunities: 100€ per stay up to 14 days (150€ per stay from 15 until 30 days).

Students with fewer opportunities

• PhD students that have the status of refugees or with the right to subsidiary protection or that have submitted the request for international protection in Spain. Please provide documents with the application form.
• Students with a disability of at least 33%. Please provide documents with the application form.
• Other profiles with inclusion support needs.

Complementary amount to the individual support for ecological commuting – Students who choose to carry out an ecological commuting will receive a one-off contribution of EUR 50 as a supplementary amount to the individual support and up to 4 days of additional individual support to cover the travel days in a round trip, if applicable. Payment of this additional amount will be made at the end of the exchange stay once the Certificate of Stay has been provided. If you have made an ecological journey on the way to and/or on the way back from your exchange stay, you must fill in this form and attach the signed affidavit. Ecological travel is considered to be carried out by train, bus or shared car.

The Student will propose a destination. This destination must be a Higher Education Institution (HEI) with an Erasmus Charter (ECHE) from one of the Erasmus+ Programme countries.

The list of the Erasmus+ HEIs can be check at the oficial site for Erasmus+ by the European Commission.

An Erasmus+ agreement between UAB and the HEI host insitution is mandatory. In case there is no agreement in force with the university where the mobility will take place, a new one can be signed if both parties agree. This agreement must be signed by the host insitution and the UAB (Dotoral School) always before the beginning of the stay.
 
The student must agree with the institutions of origin and destination before the beginning of the stay the Learning Agreement, which is the document with the research proposal to be made during the stay.

The call for application for the 2023/24 academic year will have four decision dates for the award of financial support:

• 1st resolution: 25 September 2023, for requests received between 4 and 12 September 2023. Acceptance / Quiet period: up to 2
  October 2023. In this resolution, up to 40% of the available resources will be granted.
• 2nd resolution: 10 November 2023, for requests received between 16 and 22 October 2023. Acceptance / Relinquish period: up to 17 of November 2022. Up to 40% of the available resources will be allocated in this resolution.
• 3rd resolution: 5 April 2024, for requests received between 5 and 20 March 2024. Acceptance/recession period: until April 14, 2024. Up to 20% of the available resources will be allocated in this resolution.
• 4th resolution: 30 June 2024, for requests received between 13 May and 14 June 2024. Acceptance/recession period: until 7 July 2024. In this resolution, resources that have not been allocated in previous calls will be granted.

The Spanish agency for Erasmus+ SEPIE offers institutions and organizations participating in the Erasmus+ program specific support on topics related to inclusion (special needs, refugees, people with less resources), which you will find in this link. In this document you will find more information.

Participants, students and teaching and administrative staff, will be able to present documentation to receive additional mobility aid. Inclusion support is financial support to cover additional costs for students and staff with fewer opportunities who participate in mobility activities of the Erasmus+ program. To access this support, participants must have a recognized and legally qualified disability of a degree equal to or greater than 33%, or suffer from physical, mental or health problems duly certified through the corresponding medical certification, as well as comply with the rest of admissibility criteria established in the Program.

The amount will cover 100% of the actual subsidized costs that are requested, directly related to your disability, provided that they are not covered through the budgetary categories of "travel" (if applicable) and "individual support", including the additional aid for students with fewer opportunities. (Among the subsidized expenses are the following: special/adapted transportation of the participant in the host country, escorts, professional services, preparatory visits and other expenses.)

All participants who request "Apoyo a la inclusión" based on actual costs will have to prove their degree of disability and documentably justify to the institution of higher education of origin or coordinator of the mobility consortium the actual expenses corresponding to the amount of the additional aid received .

Blended Intensive Programs (BIPs) are short student and staff stays abroad combined with a mandatory virtual part where participants meet online to work collectively and simultaneous in specific tasks that are integrated into the stay and that count towards the overall learning outcomes.
