9 Important Points When Applying for Erasmus+ Study

Here are the nine points to keep in mind when applying for and going on an Erasmus+ Study Programme.

Please remember that if you are not a Spanish citizen, you must have an NIE as a student in order to apply.

This list indicates those institutions that have signed the Erasmus Charter to be able to carry out Erasmus+ study exchanges.

VERY IMPORTANT:

Before applying for these calls, you must confirm with the host institution that they have open deadlines to accept visiting students.
Also, if the agreement is not signed before you leave (see point 5.a of this page) you WILL NOT get a grant for your stay.

  1. This information should be consulted:
    • Details on the call and the application link (OUT exchange application).
      Erasmus+ Doctorate grants are incompatible with those contracts that can be financed through European funds (e.g., FPU, FPI, FI), as well as with any other financial support for stays abroad that categorically specify this incompatibility in the bases/conditions relating to that support.
    • Calendar of calls for stays carried out in the 2023-2024 academic year
      There are 4 application periods, but in order to comply with foreign universities’ mobility-calendar deadlines, it is recommended that you apply in the first period even if the stay will take place at a late phase in the academic year.
      • 1st resolution: 25 September 2023, for requests received between 4 and 12 September 2023. Acceptance / Quiet period: up to 2
        October 2023
        . In this resolution, up to 40% of the available resources will be granted.
      • 2nd resolution: 10 November 2023, for requests received between 16 and 22 October 2023. Acceptance / Relinquish period: up to 17 of November 2023. Up to 40% of the available resources will be allocated in this resolution.
      • 3rd resolution: 5 April 2024, for requests received between 26 February and 15 March 2024. Acceptance/recession period: until April 14, 2024. Up to 20% of the available resources will be allocated in this resolution.
      • 4th resolution: 30 June 2024, for requests received between 13 May and 14 June 2024. Acceptance/recession period: until 7 July 2024. In this resolution, resources that have not been allocated in previous calls will be granted.
  2. All the required documents have to be uploaded, through the electronic application. You can consult them in the call (section E: submission of applications). All documentation must be received within the application-timetable deadlines so that you application can be assessed.

    It is essential that in the observations section of the electronic application, you add the following information, depending on whether you are requesting aid for days or months:

    Request for days and indicating the “number” of days. As an example: order for 30 days.

    Application for months and indicating the “months”. As an example: it is requested for November and December.

  3. The formal resolution on the call for applications can be consulted through on the "Mobility and Exchange" webpage.
  4. Once you have been granted a place, this must be accepted via the application form through which you applied, and before the deadline indicated in the call. You should also provide your bank details for receiving payment of the grant, if applicable, and indicate the approximate dates of your stay.
  5. Before you leave:
    Final awarding of the grant is subject to having presented all the required documentation and the signing of the corresponding bilateral agreements between the UAB and the host university.

      If it is of interest to you, you may also wish to consult the information on the International Doctoral Research Component. Remember that if the stay is for a minimum of 3 months, you must make a commitment to apply for the International Doctoral Research Component.
    • The following documentation should also be reviewed and completed before the start of your stay. In the self-help tutorial (document in Spanish), please consult the section on activity H) Managing Activities for Participation in the Erasmus+ Programme (select activity type 64-Programme Erasmus+ Study Mode). Consult the video-tutorial (in Catalan). Final awarding of the grant is subject to having presented all the required documentation and the signing of the corresponding bilateral agreements between the UAB and the host university.
      • Agreement between universities. Once signed, you must send a copy. to ed.mobilitat@uab.cat (please identify yourself by indicating your DNI/passport, NIU, name and surname). In case this may be of interest to you, this link, from the Mobility admin., provides the contact list of those institutions that have signed the Erasmus Charter. Please consult the list of ISCED codes in order to complete the agreement form.
      • Grant agreement. You need to print out two copies of this document, sign both copies and send them to the Doctoral School so that they can be counter-signed.
      • Learning agreement. This document must be signed by you, by your PhD coordinator and by the authorised person at the host institution. Once signed by the three parties, you must then send a copy to ed.mobilitat@uab.cat (please identify yourself by indicating your DNI/passport, NIU, name and surname) and add a copy to your SIGMA file, under activity 64-Erasmus+ Programme Study Mode.
      • Language test. You will be sent an email containing a link to a level test.
  6. Once you have arrived at the host university or institution, you must send the following document to ed.mobilitat@uab.cat (please identify yourself by indicating your DNI/passport, NIU, name and surname):
    • A copy of Certificate of Arrival. When this document has been received at the above email address, and provided that steps 5a, 5b, 5c and 5d have been completed, you will then be paid 70% of the grant that you have been awarded.
  7. Shortly before finishing your stay, you will be required to take a further language-level test. Again, you will receive an email containing a link to this test.
  8. Before completing your stay, you must ensure that the Certificate of Attendance is duly signed by the host institution. The certificate (original, not a copy) must then be submitted when you return to the UAB.
  9. At the end of your stay, you must complete an EU Survey to evaluate your experience (you will receive an invitation by e-mail to access and complete the survey). You will need to enter SIGMA again and upload your Certificate of Attendance under activity 64 - Erasmus+ Study Programme, so that your director can validate it. Following this, you must present the certificate (original, not a copy) to the Doctoral School in order that the remaining quantity of the grant can be paid to you.

Other Doubts that You May Have About the Erasmus Programme

  1. If you need to modify the granted period of stay, you must complete the corresponding modification document and send it to the Doctoral School (ed.mobilitat@uab.cat Please identify yourself by indicating your DNI/passport, NIU, name and surname). The modification document is distinct depending on whether the request is made before or during the exchange. Together with this document, you must also send us the addendum to the grant agreement (document in Catalan) in duplicate, duly completed and signed.
  2. If your stay is shorter than the period you had originally indicated, you will receive the grant only for the period actually spent on the stay.
  3. If you wish to also use this Erasmus stay for the International Doctoral Research Component stay at the same time, you must also include the Certificate of Attendance under activity 4-Research Stays in National or Foreign, Public or Private Centres.
  4. To go on an Erasmus, you must previously have fully paid for mobility insurance. If you have not yet done so, you must contact the Doctoral School to arrange for the incorporation and payment of this fee (ed.mobilitat@uab.cat. Please identify yourself by indicating your DNI/passport, NIU, name and surname).
  5. The start date of the stay will always be subsequent to the resolution awarding the place and/or grant.
  6. In the event of having to relinquish the grant, you will need to complete the document of relinquishment (document in Catalan) and send it to the Doctoral School (ed.mobilitat@uab.cat. Please identify yourself by indicating your DNI/passport, NIU, name and surname).
